Getting Started
Accessing the CRM
The Solo Lawyer CRM is a web-based application accessible from any modern browser. There is nothing to install — simply open your browser and navigate to the login page.
Your First Login
- Open your browser and go to your firm's CRM login URL
- Enter your email address exactly as it appears in your credential email
- Enter your temporary password (case-sensitive)
- Click Sign In
- You will be taken to the Dashboard — your CRM home screen
If you see "Invalid email or password," double-check your credentials. Copy-pasting from the credential email is recommended to avoid typos.
User Roles

| Admin | Full access to all modules, all contacts, all data. Can manage users and system settings. |
| Attorney | Full access to case-related modules: contacts, matters, pipeline, billing, documents. |
| Staff | Access to contacts, tasks, consultations, and time tracking. |
Navigating the CRM
The CRM uses two navigation bars. The top bar (dark) shows quick links to Dashboard, Contacts, Pipeline, and Tasks, plus your name and Logout. The module tab bar below it lists all 14 modules — click any tab to go directly to that section.
Dashboard
The Dashboard is your CRM home screen. It provides an at-a-glance overview of your firm's current activity and key performance metrics.

Quick Actions
New Contact (blue button) opens the contact creation form. Pipeline takes you directly to the pipeline view.
Contacts
The Contacts module is the foundation of the CRM. Every person your firm interacts with — potential clients, current clients, referral sources, opposing parties — lives here as a contact record.
Adding a New Contact

Contact Detail Page
Click any contact's name to see everything about them in one place: contact info, pipeline leads, linked matters, consultations, tasks, time entries, and billing. Pull this up before every call or meeting.
Pipeline
The Pipeline tracks every potential client from first contact through retention or loss.
Pipeline Stages

| New Lead | A new inquiry — respond within 5 minutes for best conversion |
| Contacted | Initial contact made (called, emailed, or texted) |
| Consultation Scheduled | An initial consultation has been booked |
| Consultation Complete | The consultation happened; attorney evaluating the case |
| Retained | Client signed engagement letter — this is a conversion |
| Lost | Lead did not convert — record the reason |
Consultations
The Consultations module manages all scheduled meetings with potential and current clients.
Statuses

| No-Show | Contact didn't appear — follow up within 24 hours |
Tasks
Every to-do item, follow-up, deadline, and action item across all matters and contacts lives in the Tasks module.

Time Tracking
Accurate time tracking is essential for billing and understanding how much effort each case requires.
Billing
The Billing module manages invoices, payments, trust accounts, and payment plans.
Invoice Statuses

| Draft | Being prepared, not yet sent |
| Sent | Finalized and sent to client |
| Paid | Full payment received |
| Partial | Some payment received, balance remains |
| Overdue | Due date passed — follow up immediately |
| Void | Cancelled — record a reason |
Trust Accounts (IOLTA)
Create trust accounts, record deposits and withdrawals, and track balances. Every transaction is logged for audit purposes. Trust funds belong to the client, not the firm. State bar rules require strict separation.
Matters (Cases)
Each matter represents a specific legal engagement with a client, tracked from opening through resolution.
Conflict Checks
Before opening any new matter, run a conflict check. The CRM searches all existing contacts and matters for potential conflicts of interest. Always do this to comply with your state bar's ethics rules.
Documents
Create reusable document templates and generate personalized versions for each client automatically.

Automated email sequences that send messages to contacts at timed intervals.
